Overview

Manage, coordinate, and execute events/ meetings requested by AIG clients. Manage all aspects pertaining to meeting space specifications, audio visual, food and beverage and special requests. Effectively communicate to Conference Center Team all the information necessary to successfully execute the client's needs while maintaining an excellent client relationship.



Responsibilities

    Maintain strong client relations and ensure that event specifications are communicated and executed for a successful meeting experience for the client and attendees.
  • Reserve meetings and events for high-level executives and other employees of AIG using the Event Management System (EMS) by reviewing Client Request Form in regards to meeting start and end times, number of attendees in each room, food and beverage orders, A/V requirements, and any other client specification.
  • Assist, train and educate clients on the booking and availability aspect of the Event Management System
  • Communicate directly with AIG employees and external clients to confirm event logistics and to finalize any outstanding items
  • Check emails first thing daily to confirm last minute meetings, changes, add ons, presentations, issue with rooms etc. Monitor all Conference Center / Hoteling Mailboxes
  • Understand and manage the catering process from beginning to end and communicate to Conference Center team appropriately
  • Attend daily/ weekly Conference Center meetings and work with CC team; Floor Ambassadors, Audio Visual, IT etc to review and communicate upcoming meeting details in order to create a successful event.

PHYSICAL DEMANDS / WORKING CONDITIONS / MENTAL QUALIFICATIONS

  • Strong client interfacing as events are planned with end users being professional, courteous, and informative
  • Must have the ability to work with a diverse team of conference center colleagues, techs, porters and building management
  • Need professional phone skills as the individual will be dealing with many meeting planners and senior admins
    Must be able to work with word and excel docs on basic levels including shared folder repository maintenance


Qualifications

  • High school Diploma or equivalent
  • 3 or more years of Customer Service experience
  • Excellent interpersonal skills to manage interaction with all levels of internal staff and outside contacts.
  • Proficiency with Microsoft Office Suite applications

  • Ability to follow directives

  • Strong written and oral communication skills

  • Results and quality driven

  • Dependable, dedicated; strong team player

  • Demonstrates professional judgment and strong decision-making ability based on company policy and precedent.

  • Exceptional oral and written communications skills

  • Flexible schedule and ability to work late hours if needed due to firm demand
