Welcome Center Receptionist (Colorado Office)

Position Overview: The Welcome Center Receptionist (WCR) plays a key role in delivering an exceptional guest experience at Concordia University's Colorado location. As the first point of contact for visitors, the WCR will assist with the check-in process, coordinate visit participants, and manage incoming phone calls to the Office of Admissions and other essential points of contact. The WCR ensures that every visitor feels welcomed and valued while maintaining the professional appearance and functionality of the Admissions Welcome Center. This role is essential to creating a positive, inviting atmosphere for prospective and current students, as well as other guests.
Essential Duties:


  • Provide an Exceptional Guest Experience: Serve as the first point of contact for all visitors, welcoming them in a warm, professional, and engaging manner. Respond to visitor inquiries, address needs, and resolve any issues promptly to enhance the guest experience.
  • Manage Guest Check-In Process: Ensure accurate visitor check-in, communicating necessary information based on the visitor's needs. Manage materials related to check-in, including scheduling, sign-in forms, parking instructions/maps, and other related documents.
  • Oversee Hospitality Efforts: Maintain the physical Welcome Center space, ensuring it is clean, organized, and well-maintained to create a welcoming environment. Address any maintenance or operational issues that arise.
  • Handle Incoming Phone Calls: Manage all incoming phone calls to the Office of Admissions, routing them appropriately and providing accurate information regarding admissions, campus visits, and related inquiries.
  • Organize Hospitality Supplies & Materials: Manage hospitality supplies, promotional items, and materials to ensure an organized, efficient visitor experience. Assist with data entry and visitor tracking in the Admissions CRM, ensuring accurate record-keeping and follow-up processes.
  • Support Admissions Events & Tours: Assist with the logistics of Admissions events, orientations, and campus tours. Coordinate with faculty, staff, and visitors to ensure seamless execution, including setting up spaces and providing on-site assistance.
  • Collaborate with Faculty, Staff, and Students: Work effectively with the diverse Concordia University community to understand, coordinate, and fulfill visit request needs, ensuring an inclusive and accommodating experience for all participants.


Education & Experience:


  • High School diploma: Required
  • Bachelor's degree: Preferred
  • 1 + years of experience in customer service, hospitality, and/or administrative roles, preferably in an academic or admissions environment


Competencies:


  • Exceptional verbal and written communication skills, with strong interpersonal and customer service abilities, and a friendly, approachable demeanor.
  • Highly organized with excellent time management and attention to detail
  • Proficiency in Microsoft Office Suite and experience in CRM systems or databases (preferred)
  • Demonstrated ability to work independently and collaboratively in a fast-paced environment
