Customer Service Representative

We're looking for a Customer Service Representative who thrives in fast-paced environments and takes pride in delivering exceptional service. If you enjoy solving problems, managing processes, and building strong relationships with customers, this role is for you!

What You'll Do

Order Management & Fulfillment

  • Process and manage customer orders in line with company revenue recognition policies.
  • Handle all order types, including RMAs for product returns and revenue reconciliation.
  • Monitor and communicate shipment schedules for back-ordered products.

Customer Engagement & Support

  • Respond to customer inquiries and complaints via phone, email, and call center tools like RingCentral.
  • Collaborate with Technical Support and QA teams to resolve cases effectively.
  • Update customer information and ensure timely resolution of customer cases in Salesforce.com.

Sales & Commercial Operations Support

  • Assist the sales team with pre-sales documentation, including vendor forms, W-9s, and COI requests.
  • Confirm sales orders and support the completion of sales transactions.
  • Serve as a backup for processing instrument orders.

Data & Case Management

  • Maintain accurate records in Salesforce.com, ensuring data integrity through regular updates and cleanup.
  • Manage and resolve customer cases efficiently, ensuring a positive customer experience.
  • Work closely with Finance to collect and submit proper billing documentation.

Process Improvement & Documentation

  • Document process improvements and develop clear work instructions.
  • Continuously monitor and refine workflows for enhanced efficiency.

What You Bring

  • Experience: At least 1 year in order fulfillment or a call center environment.
  • Technical Skills: Proficiency with Salesforce.com, NetSuite, or other ERP systems.
  • Industry Knowledge: Experience in bio-medical capital equipment manufacturing is preferred.
  • Tech Proficiency: Competence with Microsoft Word, Excel, PowerPoint, and CRM software.
  • Core Competencies: Excellent communication, multitasking, and organizational skills, with a strong attention to detail and a positive attitude.
