CTD Temporary Summer Assistant Program Assistant (Supply Manager)
CTD Academic Summer Camp at Northwestern University
The temporary Program Assistant (PA) Supply Manager works closely with the permanent Summer Program Assistant and Program Coordinators to keep programs running smoothly and efficiently. The Supply Manager is responsible for inventory, ordering, tracking and distribution of all summer program-related supplies as directed by permanent team members. Additionally, the Supply Manager is responsible for purchasing and purchase reconciliation for program-related supplies. This is an active and visible role requiring high energy, flexibility, and attention to detail.
Employment Dates and Salary
Full-time work: April 21 - August 15, 2025, June 29 and July 20 (Sundays) required
Hours: Monday - Friday, generally 7:30 am - 4:00 pm (hours may vary)
Compensation: $19.00 per hour; 37.5 hours maximum per week; one-hour unpaid break daily
- Previous office or clerical experience required, with additional experience in a fast-paced environment highly preferred.
- Experience with budget execution, financial reporting, and supply purchasing required; inventory management and distribution experience preferred.
- Applicants must demonstrate a positive attitude, superior organizational, communication, and customer service skills, attention to detail, and creative problem-solving abilities.
- Computer proficiency, including data entry and data management, is required.
- Must be able to lift 40+ pounds and traverse at least one mile with or without accommodation.
- A valid U.S. driver's license is required.
A bachelor's degree is preferred.
- Learn, implement, and adhere to CTD and Northwestern policies, procedures, and staff conduct expectations as outlined in the staff handbook and by administrative staff.
- Uphold and promote the CTD Honor Code among staff and students.
- Provide general office support and assist with administrative tasks, including those requiring the use of a university vehicle.
- Maintain accurate recordkeeping for supplies, inventory, and program-related data to ensure readiness and compliance with CTD and NU policies.
- Supervise and coordinate a staff of 8-10 Office Assistants in collaboration with CTD administrative staff.
- Collaborate effectively with CTD administrative and program staff to complete program preparations and assigned responsibilities.
- Oversee supply management tasks, including inventorying, ordering, organization, distribution, and collection across multiple program sites.
- Safeguard confidentiality of information regarding children, families, staff, and internal office discussions.
- Complete all financial documentation related to supply ordering, including managing receipts, spreadsheets, and reports as required.
- Organize and prepare pre- and post-program projects, including assisting with moves to on- and off-campus sites.
- Lift and organize 40+ lbs. of supplies, including boxes, crates, and bins, to support workspace organization.
- Must be willing to drive a Northwestern University-provided minivan across campus and across town.
- Assume additional program-related responsibilities as requested by CTD administrative staff.
