Overview

The Administrative Assistant will provide administrative support to office staff for our office in Manassas, VA. This role is full-time onsite.


What will you do?

  • Greet, sign-in and escort visitors and vendors
  • Distribute employee badges for the building and issue visitor badges as required and in keeping with site security plan
  • Receive and distribute incoming mail and packages as well as manage outgoing packages
  • Facilities primary point of contact for Manassas office location which provides local autonomy but may need to coordinate larger facility needs with the corporate facilities function
  • Maintain conference rooms, reception area and other common spaces which includes kitchens
  • Support meetings as needed which includes ordering food / ensuring refreshments are available, etc.
  • Schedule and coordinate on-site maintenance, repairs, and inspections
  • Assist with reconfiguration of workspaces
  • Maintain inventory of office and kitchen supplies and purchase/replenish as needed
  • Coordinate onsite company-related events (holiday parties, all-hands meetings, etc.) to include room set-up, food order/delivery/set-up, clean-up, etc.
  • Support new hire onboarding in coordination with HR to include set-up of workspace, supplies, etc.
  • Perform miscellaneous office-related purchases
  • Schedule meetings for executive management
  • Create and submit expense reports for executive management
  • Provide other administrative support as necessary
  • Support recognition programs - employee welfare tasks, events, awards (ex. plaque purchase/updates, etc.)
  • Maintain inventory spreadsheet and business contact lists

Do you have what it takes?

  • High school diploma or equivalent
  • At least one year of administrative and clerical experience
  • Successful completion of background and reference check required
  • US Citizen with the ability to obtain a Secret Level Clearance
  • Strong oral, written and interpersonal communication skills
  • Excellent time management skills with a proven ability to meet deadlines and prioritize tasks
  • Strong organizational skills and attention to detail
  • Self-starter and driven
  • Strong problem-solving skills and analytical abilities
  • Strong Skills in MS Office suite of applications
  • Able to work well independently as well as on a team
  • Ability to sit for prolonged periods of time at a desk and work on a computer
  • Ability to lift up to 20 pounds
  • Ability to work on-site eight hours a day, Monday - Friday; (start/end time is generally 8:00 AM - 5:00 PM but may be adjusted with management approval)

Desired Qualifications:

  • Associate's degree in office administration or related field preferred
  • Prior experience scheduling and coordinating on-site maintenance and repairs for an office setting

Travel Requirements:

  • Occasional local travel (access to personal transportation required)
