Description

Our department is dedicated to supporting individuals with hearing and communication disorders, as well as treating patients who have injuries, illnesses, or disabilities. Our work is rooted in the mission of reducing the impact of these challenges, which can often lead to social isolation, unemployment, and depression. We strive to improve our patients' quality of life by helping them overcome these difficulties. We are seeking a compassionate, detail-oriented Administrative Assistant for our Saturday clinic. The ideal candidate is dedicated to helping others, exhibits excellent customer service skills, and is committed to our mission of improving patients' quality of life. On occasion may be asked to provide coverage at other Rehab departmental locations, including Audiology, Speech Pathology, and Rehabilitation Clinics in Westwood or Santa Monica. As needed, may be asked to cover weekday clinic shifts.

Key Responsibilities:



  • Welcome patients at their scheduled appointment times and manage check-in/check-out in UCLA's electronic health record system (CareConnect), and inform clinicians promptly of patient arrivals.
  • Verify insurance benefits and collect patient payments.
  • Make scheduling decisions based on knowledge of clinical practices at the Clinic. Schedule, reschedule, and cancel patient appointments as needed, especially in cases where the provider is unavailable or out of office.
  • Maintain accurate records of scheduling changes, cancellations, and patient communications related to scheduling adjustments.
  • Register new patients in CareConnect and handle incoming phone calls.
  • Monitor CareConnect workqueues (orders and referrals) to ensure timely scheduling of appointments.
  • Maintain par levels for clinic supplies.
  • Provide excellent customer service to ensure a welcoming and efficient clinic environment.

Salary: $28.17 hourly
Qualifications

  • Customer service, back office and front office functions in a health setting required
  • Ability toprioritize assignments when faced with heavy workload, deadlines, interruptions, and competing requests to complete tasks in a timely manner.
  • Interact diplomatically with a diverse population composed of staff, physicians, administrators, and outside personnel.
  • Modify and adapt office procedures when confronted with changing operational needs.
  • Once trained, utilize Medical System structure and policies to serve as a resource for questions, referrals, and documentation.
  • Recognize and deal appropriately with sensitive and confidential issues.
  • Once trained, utilize the electronic health record (CareConnect) to perform administrative functions for various tasks related to patient services.
  • Able to effectively use Word and Excel.
